Overview

AutoAccount is an enterprise financial management and accounting platform built for Business Analytics Inc. to streamline multi-location bookkeeping, banking reconciliation and financial operations. It pulls banking data through Plaid and repair-shop data through the Tekmetric API, and supports accounts payable and receivable, bill scheduling, payroll journal entries and general ledger management, with interactive dashboards, a transaction audit trail and PDF and CSV reporting.

The challenge

Bank data and repair-shop data come from two outside systems and have to be matched and kept in sync, every change to a transaction needs a trail, and each user should reach only the shop locations they manage.

What we built

  1. Accounts payable and receivable: vendor invoices, payment aging, overdue payables and receivables tracking
  2. Banking and liability integration through Plaid: bank account data, balances, credit card liabilities and payment due dates
  3. Transaction management with document attachments, change history and transaction reversal records, giving a full audit trail
  4. Bill payment: manual bill entry, recurring payment schedules, payment tracking and automated reminders
  5. Tekmetric integration that synchronises repair orders, customers, vehicles, parts and labor data, with transaction matching for reconciliation
  6. Financial dashboards with interactive balance trends and expense analysis
  7. Reporting and exports: downloadable PDF statements and CSV exports
  8. Payroll records and general ledger adjustments, with debit and credit entries mapped to GL codes
  9. Authentication and access control: JWT sign-in, two-factor one-time codes (SMS and authenticator app) and protected routes
  10. Scheduled background jobs for recurring payments, reminders and data syncs

One React web app and a FastAPI service sit on PostgreSQL; scheduled jobs pull bank data from Plaid and repair-shop data from Tekmetric, and sign-in is protected by one-time codes.
  1. A user signs in to the React web app. The API checks the password and a one-time code, sent by SMS through Twilio or generated by an authenticator app, and issues a JWT.
  2. Scheduled jobs (APScheduler) pull bank accounts, balances and credit card liabilities from Plaid, and repair orders, customers, vehicles, parts and labor from Tekmetric.
  3. The API and the scheduler store the data in PostgreSQL, where bank transactions are matched to repair-shop data for reconciliation and every change is kept in the audit trail.
  4. Accountants work in the web app through REST calls: accounts payable and receivable, bills and payroll entries. The API also connects to Vector Payments.
  5. Dashboards, PDF statements and CSV exports are produced in the browser (Highcharts, jsPDF, PapaParse).
